1. Booking Process

A booking is not confirmed until we have reviewed the details, checked availability, and sent confirmation. Until confirmation is issued, no service slot is reserved. We may ask for information such as the type of flooring or fabric, approximate room size, access arrangements, parking considerations, level of soiling, and whether there are any known stains, damage, or sensitivities to cleaning products. When you make a booking, you must ensure that the details supplied are accurate and complete. If the information provided is materially incorrect or incomplete, we may adjust the quote, change the time allocation, or, in serious cases, cancel the appointment. The customer is responsible for moving light personal items before the appointment unless otherwise agreed. While we aim to keep appointments as arranged, we do not guarantee exact arrival times unless specifically agreed. A reasonable arrival window may be used for scheduling purposes. If our team is delayed due to traffic, weather, equipment issues, prior job overruns, or other operational reasons, we will make reasonable efforts to notify you and rearrange where appropriate. Booking a service with Acton Carpet Cleaners does not create a guarantee of any particular cleaning result, but rather an obligation to provide the service with reasonable care and skill.

2. Pricing and Payments

Prices are normally based on the type and size of the area to be cleaned, the condition of the fabric or flooring, the level of contamination, and any specialist treatment required. Any estimate or quotation provided before inspection is given in good faith but may be adjusted if the actual conditions differ from those described. Additional charges may apply for heavily soiled areas, pet-related contamination, difficult access, parking restrictions, out-of-hours work, urgent appointments, or the use of specialist products. We will explain any material variation before continuing wherever reasonably possible.

Unless stated otherwise, payment is due on completion of the service. We may require a deposit, advance payment, or card pre-authorisation for certain bookings, particularly for larger jobs, commercial work, or appointments made at short notice. If payment is taken by bank card, cash, transfer, or another method permitted at the time of booking, you must ensure that funds are available and that the payment details are valid. Acton Carpet Cleaners may suspend or refuse future services if payment is overdue or if previous payments have been reversed without lawful reason.

Invoices, where issued, are payable within the stated period. Late payment may result in interest or reasonable recovery costs where permitted by law. If a payment is disputed, you must notify us promptly and provide the basis of the dispute so that we can investigate. The customer remains responsible for all charges properly incurred up to the point of cancellation, refusal, or suspension. Any promotional discount or special offer applies only where the stated conditions are met and may be withdrawn if the booking is altered or combined with additional work.

3. Cancellations, Rescheduling, and Access

We understand that appointments sometimes need to change. If you wish to cancel or reschedule, you should give us as much notice as possible. Where a booking is cancelled with insufficient notice, we may charge a cancellation fee to cover reserved time, travel planning, and staff allocation. The amount of any fee will be reasonable and may depend on how much notice was provided and whether materials or resources were already assigned to the job. If a deposit has been paid, it may be retained in whole or in part where permitted to recover genuine losses.

If our team arrives and cannot gain access, cannot complete the work because the property is not ready, or is prevented from working due to circumstances within your control, the appointment may be treated as a late cancellation or failed attendance. This includes situations where keys are unavailable, access codes are incorrect, water or electricity is not available where needed, or the responsible person is absent. In such cases, the customer may be charged for wasted time and any unavoidable costs. We may, at our discretion, agree to wait, return later, or rearrange the service, but this is not guaranteed.

We reserve the right to cancel or postpone a booking where we reasonably believe the work cannot be carried out safely, lawfully, or effectively. This may happen because of flooding, structural risks, hazardous materials, extreme weather, illness, equipment failure, or other events beyond our control. If we cancel for reasons within our control, we will normally offer a new appointment or refund any prepaid amount for the affected service, but we will not be responsible for indirect loss. Acton Carpet Cleaners is not liable for delays caused by circumstances that are outside reasonable control.

4. Service Standards and Customer Responsibilities

We will provide services with reasonable care and skill, using methods and products we consider appropriate for the item or surface being treated. However, cleaning outcomes may vary according to age, fibre type, prior wear, pre-existing staining, previous treatments, and the condition of the material. Some marks may be permanent or may only improve partially. We do not guarantee complete removal of every stain, odour, or mark, especially where damage has already occurred or where the fabric has been weakened by previous use or improper treatment.

The customer is responsible for informing us of any known issues that may affect the service, including colour run risk, loose seams, fragile fibres, underfloor heating, recent dye transfer, chemical sensitivities, or hidden damage. If such information is not disclosed, we will not be responsible for resulting issues that could reasonably have been avoided. You should remove valuables, fragile items, and small personal belongings from the work area before the appointment. While our team will act with care, we are not responsible for items left in the cleaning area unless loss or damage is caused by our negligence and is proven.

It is also your responsibility to arrange suitable parking, where necessary, and to ensure that any required permits or permissions are in place. If our cleaners need to use lifts, communal areas, or shared facilities, you must ensure lawful access is available. Any delay caused by access problems may reduce the time available for the appointment. Our team may refuse to handle materials that are unsafe, contaminated beyond the agreed service scope, or not suitable for standard cleaning processes. In such cases, the original booking may still be charged if time has already been reserved.

5. Liability and Limitations

Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded under UK law. Subject to that, our total liability arising from any individual service is limited to the amount paid or payable for the service in question, except where a different limit is required by law. We do not accept liability for indirect, consequential, or economic losses such as loss of profit, loss of business, loss of opportunity, or loss of enjoyment.

We are not liable for pre-existing damage, wear and tear, hidden defects, deterioration, or faults that become apparent during or after cleaning unless caused directly by our negligence. This includes issues such as colour loss, fabric distortion, glue failure, backing separation, texture change, or water marks where the material was already vulnerable. Certain materials may react unpredictably to cleaning agents, heat, moisture, agitation, or extraction techniques. By instructing us to proceed, you acknowledge that Acton carpet cleaners use professional judgement, but cannot guarantee against every material reaction.

If damage is alleged, you must notify us within a reasonable time and allow us an opportunity to inspect the item or area before any repair or disposal. You must also take reasonable steps to reduce any ongoing loss. We will not be responsible for damage caused by misuse after cleaning, failure to follow aftercare instructions, or the use of third-party products applied after our service. Our liability for property damage, where established, will be assessed fairly and in accordance with applicable law and evidence.

6. Waste Regulations and Disposal

In carrying out our services, we may generate waste water, removed residue, disposable cloths, packaging, and other materials associated with professional cleaning. We will handle waste in a manner intended to comply with applicable UK environmental and waste disposal requirements. Where relevant, waste materials will be separated, contained, transported, and disposed of using lawful methods. We will not knowingly dispose of regulated waste in a manner that breaches statutory duties or local authority requirements.

The customer must not ask us to dispose of hazardous substances, prohibited items, or waste that requires specialist handling unless this has been agreed in advance and can be lawfully accepted. Such materials may include, without limitation, asbestos-related material, bodily fluids beyond ordinary cleaning scope, chemical waste, sharps, medical waste, or contaminated items requiring licensed disposal. If we discover waste of this kind during a job, we may suspend the service immediately. Any additional handling, segregation, or disposal cost may be charged to you where lawful and appropriate.

We may use water extraction, waste collection, or other cleaning methods that produce contaminated runoff or collected residue. The customer agrees to provide a suitable drainage arrangement or disposal area where necessary and to inform us of any site-specific restrictions. We will not be responsible for pre-existing drainage faults, blocked outlets, or non-compliant waste systems that are outside our control. If a property or premises requires special environmental precautions, you must notify us before the appointment so the correct method can be selected.

7. Complaints, Aftercare, and Remedial Work

If you are dissatisfied with any aspect of the service, you should notify us as soon as reasonably possible and provide details of the issue. Where appropriate, we may inspect the affected area, request photographs, or arrange a revisit. Complaints should be made promptly so that the condition of the carpet, rug, or upholstery can be assessed fairly. Failure to raise an issue promptly may affect our ability to investigate and may limit the remedies available.

Where we accept that a problem was caused by our failure to provide the service with reasonable care and skill, we may at our option offer a repeat service, a partial refund, or another proportionate remedy. Any such remedy will be assessed on a case-by-case basis. We will not be obliged to provide a remedy where the issue is caused by factors outside our control, inaccurate information, unsuitable materials, or normal limitations inherent in professional cleaning. The aim of Acton Carpet Cleaners is to resolve genuine concerns fairly and efficiently.

Any aftercare advice provided by our team should be followed carefully, especially regarding drying times, ventilation, and restricted use of treated areas. Re-soiling, staining, or damage that occurs because of immediate use before drying is complete may not be covered. Likewise, if you use additional cleaning agents, brushes, sprays, or machines after our service, any resulting change in appearance or condition will be your responsibility. We encourage customers to keep a record of any relevant product instructions or treatment notes supplied at the time of service.

8. Governing Law

If you are a consumer, you may have rights under mandatory consumer protection legislation that apply in addition to these terms. If a disagreement cannot be resolved informally, the parties may seek appropriate legal remedies through the courts of England and Wales.
